Office Assistant

It is the responsibility of the Office Assistant to provide accurate and timely documents for the Branch; while providing support to the Branch One Mission and Vision.

REPORTS TO: Demand/Office Manager

QUALIFICATIONS:

  • Proven ability to perform tasks in a consciousness manner.
  • Show previous experience in accounts receivable or related field.
  • Ability to ten key efficiently and accurately and have basic keyboarding knowledge in addition to performing basic mathematical functions necessary to perform the job.
  • Ability to contain confidential information and records in a professional manner.
  • Mental ability to handle strenuous and complex activity while meeting constant deadlines.
  • Ability to understand and follow the company s policy and procedures manual.
  • Ability to exemplify a cooperative attitude necessary to work with all departments and management.

PRIMARY DUTIES:

  • The primary duty of the Office Assistant is to provide retail customers with an accurate label for shipment by entering the correct address, printing labels, and preparing the product for UPS shipment.
  • Verify invoices to the billing copy for accuracy.
  • Process billing and proofread all data entry before transmitting.
  • Comply with the company s policy and procedure manual in all aspects of accounts receivable.
  • Attach invoices and proof of delivery receipts to shipping packet.
  • Maintain files daily in an orderly fashion. Pull files as requested for Branch 0001 and 0012. Create drawer folders and archive files as needed.
  • File all invoices for Branch 0001 and 0012 in a professional manner.
  • Keep the work area clean and orderly.
  • Verify the daily 1032 price override report.
  • Maintenance price files and file in price book orderly.
  • Answer phones professionally. Assist Customer Service by taking precise messages to return the call.

SECONDARY DUTIES:

  • Meet accounting requirements on all invoices.
  • Prepare files for storage in a manner that they can be easily accessed.
  • Perform quarterly inventory duties as assigned.
  • Key in purchase orders as a back-up to the Order Processing Specialist.
  • Cross trained to cover for Leesa orders in the absence of the Customer Service Rep.
  • Cross trained to order re-sale items and follow-up in the absence fo the Customer Service Rep.

In addition, the Office Assistant performs any other tasks related to the operation of this Branch as directed by the Demand/Office Manager. This position may require occasional overtime.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
